The Scottish Community Safety Network (SCSN) brings together people who are involved in community safety in Scotland to work towards its vision that: People are safe from crime, disorder, danger and free from injury and harm; and communities are socially cohesive and tolerant; are resilient; and able to support individuals to take responsibility for their wellbeing.

Job description

Job Activities

The main task will be to assist the Business and Development Officer manage the SCSN budget and support the smooth running of the business support function of the organisation.

Administrative support

• Organise and maintain efficient and effective information storing, archiving and filing systems – we operate a paperless business model.

• Maintain arrangements for post and mail.

• Arrange travel arrangements for staff and Directors , including identifying best methods of travel

• Stationery and supplies ordering

• Purchasing equipment

• Manage generic ‘info’ email account

• Dealing with queries from public and or partners via phone, letter or email

• Update and maintain contact lists

• Arrange hospitality for meetings

• Support delivery of events by booking venues, maintain delegate lists, ensuring equipment and peripherals are available and setting up presentation’s, registering and invoicing delegates and presenters.

• Maintain electronic diaries and communication systems

• Support the communications officer with website and communication matters as required.

• Assist in the preparation and editing of presentations and training materials as required.

• Provide general administration support to the Chief Officer and Board members as required.

Financial support

• Process orders, delivery notes, invoices, payments. Deal with accounts and queries from stakeholders.

• Process salaries and payroll information

• Process staff and directors expense claims

• Support the BDO to prepare financial reports to the Board, Scottish Government and other stakeholders

• Support and provide information as necessary to the treasurer in carrying out their duties.

Engaging and Connecting

• Supporting SCSN in its role in connecting stakeholders

• Supporting meetings and events, registering delegates

Contacts and Relationships

The post holder will work most closely with the BDO. Contact and relationship will be developed with all SCSN staff and directors. There will be minimal contact with SCSN members and partners through telephone email and some face to face,

Supervision Received

The post holder will normally organise their workload within an agreed framework and with supervision and support from the BDO.

The post holder will meet regularly with their Line Manager (BDO) to review progress against agreed objectives and seek advice on complex or unusual issues.

Decisions

The post holder will operate within the flexible and agile working environment of SCSN. Within that context a range of choices or options may present and the post holder will be expected to use discretion, tact and political awareness in the course of decision making. When required the post holder will discuss specific courses action, advise and make recommendations. Such recommendations should be discussed with the BDO and Chief Officer if required.

Environment

The post requires some manual handling/ lifting (boxes of paper/ books/ resources), manual use of equipment including photocopiers, scanners, and printers.

Normal working environment is office based or similar within the auspices of the new agile and flexible working approach.

Care should be exercised in the prolonged use of IT equipment in accordance with the SCSN's policy and guidelines.

SCSN works across Scotland and the post holder may be required to support events and meetings outwith the central belt. Travel, out of pocket expenses and accommodation will be provided.

The post holder will be required to work occasional evenings and weekends.

SCSN is the national forum for officers who are responsible for the strategic development of community safety at both local and national level, in the private, public and voluntary sector. Closing date for receipt of applications is 17th October 19
