Job description

Job purpose:

You will be responsible for providing clerical assistance to all staff within Greener


You will be working in a friendly, dynamic front of house setting and should enjoy completing a range of administrative tasks along with welcoming guests into the building

Specific responsibilities:

• To work as part of Greener Kirkcaldy’s ‘Front of House’ team:

o To maintain a welcoming, informative space for visitors

o To act as a first point of contact for members of the public

o To offer information and sign-posting to Greener Kirkcaldy’s and others’ services

o To provide excellent customer service, engaging with members of the public in a positive and constructive way and ensure their needs are met

• Deal with telephone and email enquiries from the general public, statutory and voluntary agencies

• Assist the Admin team as required

• Collecting information and updating databases

• Support the organisation to keep paperwork up to date, and to adhere to Greener Kirkcaldy’s quality management systems

• Assist with the arrangement of events and meetings

General responsibilities:

• To work as part of the Greener Kirkcaldy team to promote and encourage understanding of environmental issues in the local area

• To comply fully with the organisation’s ethos, policies and procedures and relevant legislation

• To ensure the building is run in an environmentally friendly way

• To undertake other duties in line with the job purpose

• Good communication skills using a variety of methods (such as written, spoken, email)

• Good computer skills

• Ability to balance and prioritise a varied workload

• Flexibility and the ability to adapt according to the needs of the project

• Initiative and self-motivation to complete tasks

• Excellent attention to detail

• Commitment to quality and high standards of customer care

• Previous experience of working in a busy environment

• Proven ability to use a range of Microsoft packages and Gmail applications

• Experience of working/volunteering in a voluntary organisation
