Job description

The administrator will work primarily on the ETC programme, supporting the manager with administrative tasks relating to course bookings and record keeping. The administrator will support the ETC manager with:

• Dealing with general queries about the ETC programme and booking courses

• Booking tutors to deliver courses

• Ensuring tutors have all delivery resources including module workbooks, certificates, registers and evaluation materials

• Liaising with course organisers once courses are confirmed

• Creating and sending partnership agreements

• Collating course and participant information from registration forms

• Preparing SCQF materials for submission to Glasgow Kelvin College for verification

• Keeping up to date records of those that have completed ETC training

• Collating training evaluation forms and inputting into Surveymonkey

• Preparing data for reporting

• Researching and updating relevant pre- and post-module material for each training module

• Keeping the ETC Tutor Hub up to date as resources are amended

• General administration tasks including filing and photocopying

• Assisting with mailings (letters, packages, etc.)

• Maintaining databases and spreadsheets

• Maintaining social media content

• Sourcing regular blog content

• Undertaking web based research and marketing of ETC

• Supporting SSF events coordination, including Awards night

Person specification

Excellent organisational skills

IT literate and understanding of how to us MS Office applications

Comfortable working in an office environment

Willing to undertake training

Flexible approach to working

Ability to work within a team

Polite and friendly manner when dealing with clients / members of the public
