Aims & objectives

Play Midlothian works to support children to flourish, though improving and increasing their opportunity to play. We focus on play because we know how much this benefits children’s health, wellbeing and development. It is important for their lives in the here and now as well as for their future life chances. We provide lots for children and families to get involved in, such as our award-winning holiday playschemes, play sessions in parks and family play activities. Our annual conference and training courses keep professionals and groups in touch with play theory and practical ideas.

Time of attendance
To be worked flexibly over Monday to Friday, between 9am and 5pm, over 4 or 5 days as the Admin Assistant prefers. Occasional evening or weekend working will be required, for example to administer events.

A core pattern of hours will be agreed at appointment. Some of the contracted hours may vary a little from week to week depending on when other staff are in the office.

Job description

Reporting lines: Reporting to the Development Manager.


Cash handling:

1. Assisting with the collection and banking of monies


2. Calculating staff hours

3. Maintaining leave records

4. Booking training and travel arrangements

5. Sending out job application packs and receiving job application forms

General administration:

6. Overseeing office stock control and placing orders

7. Handling telephone and email enquiries and mail

8. Handling booking systems and keeping the relevant calendars up to date

9. Updating the contact databases and mailing lists

10. Filing

11. Maintaining a tidy office and stationery cupboard

12. Photocopying and compiling paperwork

Project support:

13. Taking minutes of meetings

14. Typing up notes and evaluation results

15. Assisting with gathering information for e-bulletins

16. data entry for various records including of Play Midlothian vehicle usage


17. Work closely with admin staff in office

18. Comply with all Play Midlothian policies and procedures and project guidelines

19. Report any issues or concerns to your line manager

20. Carry out other duties as may be required from time to time as instructed by the line manager

Person specification


• A methodical and organised approach to work

• An eye for detail and ability to complete tasks accurately

• Proficiency in Office software, particularly Outlook, Word and Excel

• Proficiency in use of internet and email

• Confidence with technology

• Good communication skills and the ability to work well with staff and volunteers

• Good numeracy and literacy skills


• Educated to Higher level or equivalent (pass level)

• An administration qualification

• An interest in the aims of Play Midlothian
