Job description

As a member of the Cassiltoun Staff Team you will play a full role in the implementation and achievement of the Association’s strategic/operational objectives and vision of being a leader in providing excellent Factoring services.

As part of the Operations Team you will:-

Assist the Operations Team with day to day admin support with regard to the factoring service provided.

Assist the Clerk of Works/Technical Officer & Customer Services Officer (Technical) to monitor communal repairs for factored owners.

Assist with data processing and filing

Provide efficient and effective general administrative support for the team

Contribute to and enhance effective team working.

To assist the Operations Team staff in monitoring factored owners account.

Assist in issuing factored owners arrears letters.

To process communal repairs.

To assist the Housing Manager (Property) to carry out an owners satisfaction survey

Assist in the production and recording of invoices for factored owners’ accounts.

Assist in the production of Newsletter articles aimed specifically at factored owners.

To deal with day to day enquiries (phone, email, letters etc.).

Undertake routine tasks which support the effective running of the operations team.

Organising own workload with prescribed limits.

Ability to work flexibly within the remit of the team.

General administrative duties.

Comply with the relevant Health and Safety Legislation which impacts on employees duties and responsibilities;

Ensure that all Factoring Administrative Assistant activities are discharged in a safe manner, minimizing risk at all times.

Be responsible for identifying own training requirements in relation to the role and proactively seek ways to improve own knowledge and skills;

To attend training and personal development courses as and when required by the Association;

Maximise the use of ICT facilities and new technology initiatives and contribute to their development where appropriate

To observe and promote Equal Opportunities, customer care and Equality & Diversity policies at all times.

Assist in the Association’s aim to reduce the negative impact of services on the environment by considering the sustainability of activities and resources employed.

Assist in ensuring Value for Money for the Association when carrying out duties.

To carry out any other duties which may be reasonably requested by the Association and undertake any other duties subsequently allocated by the Association’s management.
