Job description

1) Office Maintenance:

• Organising and maintaining the filing system

• Ordering supplies and goods to keep office running efficiently

• Keeping office equipment in good running order

• Dealing with mail

• Photocopying

2) Communications

• Answering the phone efficiently and directing calls to members of staff

• Checking and dealing with emails effectively

3) Secretarial Support

• Word processing and printing of letters and reports

• Maintaining personnel database and project records

• Compiling information to assist with report writing

4) Supporting Finance Systems

• Assist with financial record-keeping

5) Public Relations

• Assisting with representing the organisation

• Assisting volunteers with office tasks as required

• Uphold and promote Community InfoSource's ethos of promoting rights of

vulnerable and minority communities

Other

• Take part in regular support and supervision sessions

• Undertake relevant training

• Carry out appropriate duties that further the aims of Community InfoSource

which may occasionally be required

Person specification

Essential

• Good Organisational skills

• Ability to use computer and type at reasonable speed

• Good written and spoken communication

• Ability to work efficiently and prioritise tasks

• Happy to work to equal opportunities and anti-discriminatory principles

• Ability to work as part of a small team and support others

• Ability to take initiative when required

Desirable

• Ability to use Excel spreadsheets

• Experience of working or volunteering in an administrative role

• An understanding of refugees and asylum seekers in the UK

• An understanding of the voluntary sector in the UK
